What’s Included in the Workbook

The workbook contains five tabs – refer to the details below for how to use each tab.

 
1. EDC Keys
This tab provides clear descriptions of the important identifiers you will see in export files.
Examples include:

  • Subject ID
  • Site ID
  • Environment ID
  • Unique record identifiers (ROWGUIDs)

You want to understand what a specific field name means or how it relates to a subject, site, or record.

 
2. Bitwise Values
Some fields in exports represent multiple “on/off” states using a single number — These are called bitwise values.
This tab explains:

  • What bitwise values are
  • How individual flags combine into a single number
  • A testing area where you can enter a value (e.g., “3”) to see which flags it includes

You see a numeric value and need to know which conditions or states it represents.

 
3. Status Values
This section explains the meaning of status codes for forms and data entry activities.
You’ll find:

  • Common statuses such as Entered, Started, Frozen, Locked, and Signed
  • Descriptions for each
  • A breakdown tool to help you interpret combined values

4. Query Status
This tab describes the statuses applied to data queries, such as:

  • Open

5. CurrentFlag
Some exported records may have multiple versions.
The CurrentFlag helps identify which version is the active one.

  • What the CurrentFlag represents

How to Use the Workbook

Below is a simple, client-friendly guide for using the workbook effectively.

 
Step 1 — Find the field or value you want to understand
Look at your exported dataset and locate the field name or numeric value you want explained.
Examples:
• FormStatus = 3
• QueryStatus = 5
• CurrentFlag = 1

 
Step 2 — Go to the matching tab
Use the workbook tabs to find the right section:

If your export contains… Go to this tab
Column Names and IDs EDC Keys
Combined Numeric Values Bitwise Values
Form or Record Statuses Status Values
Query Lifecycle Statuses Query Status
Indicators of “Current” Version CurrentFlag

 
Step 3 — Decode the value
If the value is a number:
1. Go to the appropriate tab.
2. Use the tester area (where available).
3. Enter the number to see exactly which flags or statuses it represents.
Example:
A value of 3 might represent both:
• “Entered”
• “Started”
The workbook will tell you this automatically.

 
Step 4 — Apply the interpretation
Once decoded, use the explanation to understand the status or meaning of the data.
Examples:
• A form marked Frozen + Locked is read-only.
• A query marked Open + Answered means the site has responded but the monitor has not yet closed it.
• A record with CurrentFlag = Off indicates that a newer version exists.
